Vouchers Entry in Tally Prime

A Voucher is a written or electronic document that acts as proof that a business transaction has actually taken place.

In accounting, no entry should be recorded without proper evidence.
The voucher serves as that legal and financial evidence.

A voucher is:

  • 📄 A document

  • 🧾 That shows transaction details

  • ✅ And proves the transaction is genuine

Without a voucher, an accounting entry has no supporting proof.

1️⃣ Evidence of Transaction

A voucher confirms that money was:

  • Received

  • Paid

  • Purchased

  • Sold

It answers:

  • Who was involved?

  • What was purchased or sold?

  • How much amount?

  • On which date?

  • Through which mode (Cash/Bank/Credit)?

2️⃣ Support for Accounting Entries

In accounting books, every entry must be supported by documentation.

For example:

  • If ₹10,000 is paid to a supplier,

  • There must be a bill, receipt, or payment voucher.

This ensures that entries are not recorded randomly.

3️⃣ Confirms Accuracy

A voucher helps verify:

  • Amount is correct

  • Date is correct

  • GST is properly calculated

  • Ledger posting is accurate

Auditors check vouchers to confirm accuracy.

4️⃣ Ensures Authenticity

Authenticity means the transaction is real and genuine.

A signed voucher or system-generated voucher proves:

  • The transaction actually happened

  • It was approved by an authorized person

5️⃣ Ensures Validity

Validity means the transaction is legally acceptable and properly authorized.

Example:

  • A payment voucher signed by manager = valid transaction

  • Unsigned payment slip = questionable
